Before the day: what the auditor has already done
The audit starts before the audit. A few days ahead of the date, the auditor has generally:
- browsed your website and your public materials — their first reading of indicator 1;
- drawn up the audit plan: schedule, indicators examined, people to meet. You receive it in advance; read it, it announces exactly what will be checked;
- verified your scope: declared action categories (training, apprenticeship, VAE, skills assessment), sites covered, “new entrant” arrangement where applicable.

Stage 1 — The opening meeting (15 to 30 minutes)
The auditor introduces themselves, restates the scope and the confidential nature of the audit, confirms the day’s agenda and everyone’s role. It is an administrative moment, but not a trivial one: present your organisation in a few clear minutes (activity, audiences, action categories, organisation). A crisp opening statement builds credibility for the rest of the day.
Stage 2 — The indicator review, criterion by criterion (the heart of the day)
The auditor then works through the framework in the order of its 7 criteria, examining the indicators applicable to your scope — all 32 indicators are detailed here. For each one, the mechanics never change:
- an open question: “how do you inform the public about your services?”, “how do you analyse the need?”;
- a request for evidence: “show me” — the website, a completed analysis form, a compiled questionnaire;
- a sampling check: the auditor picks two or three beneficiary files themselves and verifies consistency end to end — needs analysis, agreement, attendance sheets, assessment of learning, certificate.
Three reflexes serve you all day long:
- Answer the question asked, without drowning the auditor in binders: a short answer backed by one precise piece of evidence beats a lecture.
- Own your justified “not applicable”: if you do not run apprenticeships, the CFA indicators do not concern you — just say so.
- Note every finding without arguing: the place for discussion is the closing meeting, not every indicator.

Stage 3 — The closing meeting (30 minutes)
The auditor summarises their findings: strong points, sensitive points, and above all any non-conformities, classed as minor or major. This is where you can bring one last piece of evidence or a clarification — not to negotiate, but to clear up a factual misunderstanding. The auditor does not grant certification themselves: they send their report to the certification body, which takes the decision.
After the audit: report, corrections, certificate
- The audit report reaches you within a few days to a few weeks depending on the certification body.
- Minor non-conformity: certification is granted; you propose a corrective action, verified at the latest at the surveillance audit.
- Major non-conformity: issue of the certificate is suspended; you have 3 months to correct, with validation on documents or through a follow-up audit.
- The certificate, valid for 3 years, states your action categories. The cycle continues with surveillance between month 14 and month 22, then renewal.
